Return Policy

We strive to ensure that you are happy with your purchase. However, if you are not completely satisfied with your purchase for any reason, you may return it to us within 30 days, for a full refund, store credit, or an exchange. Please see below for more information on our return policy.

RETURN POLICY AT A GLANCE

​All returns must be postmarked within thirty (30) days of the delivery date of the product.

All returned items must be in new and unused condition, with all original tags, labels, certificates, etc attached.

RETURN PROCESS

​​To return an item, please email customer service at care@xanadiamonds.com or fill out the Return Form to obtain a Return Merchandise Authorization (RMA) number. After receiving an RMA number, place the item securely in its original packaging and the return form provided, then mail your return to the following address:

Please use the prepaid return shipping label enclosed with your package. If you are shipping the product with a different shipping method, please ensure that the product is insured to the invoice amount. We will not reimburse the shipping fees for any other method if the package has not been insured. 

REFUNDS

After receiving your return and inspecting the condition of your item, we will process your return or exchange. Please allow at least thirty (30) days from the receipt of your item to process your return or exchange. Refunds may take 1-2 billing cycles to appear on your credit card statement, depending on your credit card company. We will notify you by email when your return has been processed.

EXCEPTIONS

The following items cannot be returned or exchanged:

  • Items that have missing or damaged stones or diamonds.

  • Items that have noticeable signs of wear and damage.

 

For defective or damaged products, please contact us at the contact details below to discuss options available to you. Please note, in the case of damaged products, we will take a decision on a case-by-case basis. 

PLEASE NOTE

  • Sale items are FINAL SALE and cannot be returned unless there is a proved manufacturing defect.

  • For the safety of the package, do not write 'Xana Diamonds' or mention anything that suggests the box contains fine jewelry.

  • We will not be able to process your refund if the package goes missing in transit.

  • All original accompanying materials that were shipped with the item (including the completed invoice, appraisal and diamond certificate, jewelry boxes, original packaging and free gifts with purchase if applicable) should be packed and returned with the item.

  • Item should be packed in its original packaging which includes the special jewelry box and outer package.

  • We will not accept returned items that are shipped without the Return Code, improperly packaged, or uninsured. Failure to return the original diamond certificate (when applicable) will void your return.

  • All returned items will be reviewed for any damage, wear, alteration, engraving, setting (certified diamonds that are purchased loose can't be set in a setting and returned) or resizing (by a jeweler other than Xana Diamonds) that occurred after the item was shipped to the customer.

  • If Xana Diamonds determines that an item has been altered in any way, the item will not be accepted for return, and will be shipped back to you without the issuance of a return credit.

  • If an item is accepted for return (or an order is canceled), Xana Diamonds will issue a full refund, exchange, or credit within 15-25 business days. Payment made via credit card will be credited back to the account. Wire transfer payments will be refunded via a company check.

  • Once an order begins processing, it can not be canceled, but it may be returned within your 30 day return period for refund, credit, or exchange.

  • Custom and customized items such as custom rings, custom jewelry or any other special order(s) cannot be returned or canceled.

  • Xana Diamonds is not responsible for the loss of or damage to shipments during the return process.

Ring Resizing Policy

When placing an order for a ring, we encourage you to measure your size accurately using our ring sizing guides, or getting your ring size from a local jeweler. Please ready our blog on ring sizing to help you better understand the nuances of measureing ring size.  

OUR POLICY AT A GLANCE

​All resizing requests must be raised within thirty (60) days of the purchase date.

The ring should be sent back in its original packaging using the return label provided. 

RESIZING PROCESS

​​To resize a ring, please email customer service at care@xanadiamonds.com or fill out the Resizing Form to obtain a Return/Resize Merchandise Authorization (RMA) number. After receiving a RMA number, place the item securely inits original packaging and the return form provided, then mail your return to the following address:

INTERNATIONAL ORDERS

For international orders (outside of the US), please do not ship the ring to the above mentioned address. The return address for international orders will be provided once you raise a Resizing request. When you return items from an international address, you act as the exporter and are bound by your country's shipping regulations. You will be responsible for any shipping costs, including customs fees, taxes, postage, and duties, as well as the retrieval of customs fees and taxes collected by the carrier upon delivery of the package. 

EXPECTED WAIT TIME

After receiving your ring and inspecting the condition, we will initiate the resizing process. Please allow at least 2 weeks from the receipt of your item to complete the resizing and return the ring to you. We will notify you by email when your ring has been resized and shipped back to you. If there are any delays that are out of our control, we shall inform you by email of the same.

EXCEPTIONS

The following rings cannot be resized:

  • Full Eternity Rings (Bands),

  • Engraved Rings,

  • Customized Designs

PLEASE NOTE

  • For the safety of the package, do not write 'Xana Diamonds' or mention anything that suggests the box contains fine jewelry.

  • We will not be liable for the loss of your ring if the package goes missing in transit due to non-adherence to the return shipping guildelines.

  • The ring should be packed in its original ring box and shipped back in the outer box placing the ring box carefully in the special cavity, to ensure it doesn't move around. 

  • We will not accept rings for resizing that are shipped to us without the Return/ Resizing Authorization Code, improperly packaged, or uninsured. 

  • The ring will be reviewed for engraving or resizing (by a jeweler other than Xana Diamonds) that occurred after the item was shipped to the you.

  • If Xana Diamonds determines that the ring has been altered in any way and cannot be resized, the ring will not be resized, and will be shipped back to you, after prior intimation.

  • If the ring is accepted for resizing, Xana Diamonds will resize the ring to the new size provided by you.

  • Once a ring has been resized, it cannot be exchanged or returned outside of the original return period.

SIGNATURE REQUIRED

To ensure the security of your shipment, an adult signature is required upon delivery. All packages are double-boxed and fully insured until they reach the specified shipping address. We will notify you via email once your order is shipped, ensuring someone will be available to receive it.

SHIPPING TO ALTERNATE ADDRESSES

For security reasons, we primarily ship to the billing address linked to your payment method. However, if you'd like your item shipped to an alternative address, please contact your bank or credit card provider to add this address to your account. This precaution helps protect you from fraudulent activities and speeds up the shipping process.

HOLD AT FedEx® LOCATION

We can arrange for your package to be held at a nearby FedEx® location if preferred. To pick up the package, a signature and proof of identity are required. For this service or to locate your nearest FedEx® facility, please contact us at 917-858-9739.​​​​

INTERNATIONAL ORDERS

International orders are shipped via FedEx International Priority® at no additional cost. Customers are responsible for any customs duties or taxes applied upon arrival in their country.

P.O. BOX ADDRESSES

We do not ship to P.O. Box addresses, as we require a signature upon delivery.

PACKAGING

Every item from Xana Diamonds will arrive in our elegant packaging, complete with all relevant documents, including appraisals and certificates where applicable.

Promotional Offers Terms and Conditions

1. ELIGIBILITY

  • Promotions are open only to legal residents of the United States who are 18 years or older.

  • Employees, affiliates, and immediate family members of Xana Diamonds LLC are not eligible for participation in any promotion.

2. PROMOTION PERIOD

Each promotion has a specific start and end date, which will be clearly mentioned in the promotion details. All dates and times are in Eastern Time (ET) unless specified otherwise. Promotions cannot be applied retroactively or extended beyond the specified period.

3. ENTRY METHODS

  • To participate, customers must follow the steps detailed in each specific promotion. Entry actions may include signing up for The Forever Club, following us on social media, or making qualifying purchases.

  • Each participant is limited to one entry per person or household unless stated otherwise.

4. PRIZE DETAILS

  • Each prize is described within the promotion details and will be provided as specified.

  • All prizes are non-transferable, non-exchangeable, and cannot be redeemed for cash.

5. WINNER SELECTION AND NOTIFICATION

  • Winners will be selected randomly from all qualifying candidates on the specified date mentioned in the promotion.

  • Winners will be notified by email and announcement on the website and social media channels within five (5) days of selection.

  • Winners must claim their prize within seven (7) days of notification. Failure to do so will result in forfeiture of the prize, and an alternate winner may be selected.

  • By participating, entrants consent to Xana Diamonds LLC’s use of their name, likeness, and entry for promotional purposes without additional compensation, unless prohibited by law.

7. DATA PRIVACY

  • Participants agree to the collection, use, and storage of their personal information as outlined in our Privacy Policy.

  • Personal information will be used solely for administering the promotion and for future marketing communications, unless the participant opts out.

8. LIMITATION OF LIABILITY

  • Xana Diamonds LLC is not responsible for any technical failures, unauthorized access, or other circumstances beyond its control that may affect the promotion’s operation.

  • By entering, participants release Xana Diamonds LLC from any liability for injuries, losses, or damages of any kind arising from or in connection with participation in the promotion.

9. DISQUALIFICATION

  • Xana Diamonds LLC reserves the right to disqualify any participant who tampers with the entry process, provides false information, or otherwise violates these terms and conditions.

10. GOVERNING LAW

  • All promotions are governed by the laws of the State of New Jersey. Any disputes will be resolved exclusively in the courts of New Jersey.

11. MODIFICATION AND TERMINATION

  • Xana Diamonds LLC reserves the right to modify, suspend, or terminate any promotion at any time without prior notice, in compliance with applicable laws.

12. TAX IMPLICATIONS

  • Winners are solely responsible for any federal, state, or local taxes associated with the prize. It is advised that winners consult with a tax professional regarding any tax obligations.

Black Friday Sale Terms and Conditions

  1. ELIGIBILITY: The Black Friday sale is open to all customers aged 18 or older, residing in the United States.

  2. DISCOUNT: Specific discounts and offers available during the Black Friday sale period will be clearly stated on the website. These discounts cannot be combined with other promotional offers or applied to prior purchases.

  3. LIMITED TIME: The Black Friday sale is valid from 10th November 2024 to 29th November 2024. Orders must be completed within this period to qualify for the discounts.

  4. EXCLUSIONS: Certain items, such as custom orders or specific jewelry pieces, may be excluded from the Black Friday sale. These exclusions will be noted on the product pages.

  5. RETURNS: All items purchased during the Black Friday sale are subject to our regular Return Policy. However, if returned, the sale discount will not be refunded or reissued.

  6. FREE PURCHASE GIVEAWAY: Customers participating in the Black Friday sale are eligible to enter the 'Free Purchase' giveaway, provided they meet the conditions specified below.

'Free Purchase' Giveaway Terms and Conditions

TO QUALIFY:

  1. Join The Forever Club: Sign up for our loyalty program, The Forever Club, through our website.

  2. Follow Us on Instagram: Follow @xanadiamonds on Instagram and share the Black Friday sale post on your Instagram story. Make sure your profile is public so we can verify your entry.

  3. Make a Qualifying Purchase: Complete a purchase during the Black Friday sale window. Purchases made using Affirm will not qualify for this promotion.

WINNER SELECTION AND ANNOUNCEMENT

The winner will be chosen at random from the eligible entries and announced on the 30th of November via our Instagram page and via email.

PRIZE

  • The winner will receive a full refund of the invoice value of their Black Friday purchase, credited back to their original payment method. Please note, no cash alternatives or substitutions will be offered.

ADDITIONAL TERMS:

  1. One Entry Per Customer: Each customer may only enter the giveaway once, regardless of the number of purchases made.

SCOPE OF COVERAGE

This Lifetime Warranty covers only the following:

  1. Manufacturing Defects: Any flaws in the craftsmanship of your jewelry piece.

  2. Material Defects: Any issues arising from the quality of materials, including the gold, diamonds, and other precious metals used in our jewelry.

WHAT IS NOT COVERED

This warranty does not cover:

  • Normal Wear and Tear: Gradual changes in appearance due to regular wear, including minor scratches, scuffs, or tarnishing.

  • Damage from Accidents, Misuse, or Improper Care: Any damage resulting from accidents, improper care, neglect, or exposure to harsh chemicals or environments.

  • Loss or Theft: Lost or stolen items are not covered under this warranty.

  • Alterations by Third Parties: Any alterations, repairs, or resizing completed by an individual or jeweler not authorized by [Your Business Name] will void this warranty.

  • Damage from Improper Handling or Storage: Damage arising from improper handling, such as dropping or subjecting the jewelry to undue stress or force.

  • Natural Gemstone Variations: Natural variations in color, inclusions, or any other characteristics in gemstones, including diamonds, which are inherent and unique to each stone.

ADDITIONAL TERMS

This list of exclusions is not exhaustive, and Xana Diamonds reserves the right to determine, at its sole discretion, whether a defect falls under the scope of this warranty.

CLAIMS PROCESS

To submit a warranty claim, please follow these steps:

  • Evaluation: Once we receive your item, our team will carefully inspect it to determine if it qualifies for warranty coverage.

  • Replacement: If the item is eligible, we will replace it with an identical product or one of equal value. Please note that no cash refunds will be provided.

  • Shipping & Insurance: Shipping and insurance costs are covered by the customer if the claim is submitted outside the 30-day return window (see our Return Policy for details).

COMPANY DISCRETION

This warranty is subject to the discretion of Xana Diamonds, and the company reserves the right to repair, replace, or determine the eligibility of warranty claims as deemed appropriate.
